(New Unlock)
So AI has three jobs in your business. Most owners only use it for the first one. They use it to clean up notes, draft emails, build reports, and it's the smart start, but a bad place to stay. I keep seeing this pattern with owners and executives. The hours AI saves gets pulled right back into more admin. If you're new here, I'm Dylan. I run an AI consultancy and I help business owners and executives decide where AI belongs. I'll show you the three jobs, why the first one keeps people stuck, and how to start using AI for more than saving time. So, let's get into it. Now, this is commonly where everybody starts with AI. They start with saving time. That's totally fine. I actually recommend my clients start there. When I work with them, I say, "What are the biggest time sucks in your day?" And that's where we focus AI in the beginning. And for most executives and business owners I work with, that could be drafting emails, cleaning up your inbox, either creating or digesting all types of reports coming from your employees, and a variety of other things. These are all time savers and really bucketed into the admin bucket. But after a while, we want to progress from just saving time to actually moving to the next two levels, which is generating revenue for the business as well as doing tasks that we could never do in the past without AI. And these are the three jobs or three levels that I think of when I think of what AI can do for a company. And for most of you, your mix or ratio of these three jobs looks something like this where the majority of your AI focus is focused on time savings. So the admin tasks that I mentioned previously and again that's okay to start there. But what we want to do is we need to mix this ratio up. So instead of being 100% time savings, ideally we get to somewhere like this where we have maybe 55% of the time our AI is focused on time savings. The other portion's on and generating revenue for the business and then the other one's unlocking things we couldn't do in the past. Now, this ratio will change over time. And it's important to note that no level is any better than the other. It really just depends on your situation in your context. The point of me sharing this with you and going through this video is letting you know that we should be distributing our AI effort and our AI spend towards different categories of tasks within the business. And a great way to think about this is when you have a list of tasks that you want to apply AI to to either completely automate or augment, you bucket them into one of these three buckets. Either it's a timesaver, it's a revenue generator, or it's a completely new unlock for the business. Now, some tasks will likely go across all three, but of those tasks that are mixed between the three, they're likely primarily one thing. So, if it's primarily saving time, put it there. If it's primarily generating revenue, put it there. And once we've bucketed these tasks in these areas, we then know where to apply the AI and which task to pull when. Let me walk you through just some examples of what fits within each bucket. Quick pause in your regular programming. This video is brought to you by me as always. Two quick things. First off, Blow is a 30-day AI insight series, completely free. You'll get 30 insights in your inbox of how you can apply AI to your business and your work. The second thing is if you'd like to work with me, blow a series of offerings to see if it was a good fit between the two of us. Now, let's get back to the video. We'll start with time savings. So, this task here is something I recommend everybody do as soon as they start using AI, and that's taking out the need of having to take notes anymore. So, a lot of us, we have meetings and we meet with different types of people for different reasons, internally and externally. All of those meetings should be recorded and every meeting has a transcript. That transcript is then passed off to AI and then AI can do a variety of things with that transcript. The most basic of things is taking notes for you. And the way that these notes are structured, the tone in which they're written, you can determine all of that with AI. But the important thing here is taking this task off your plate. It's a huge timesaver for most people and a perfect example of where AI can be applied to level one or the first job. Now, in this example, I have a super basic prompt here that you can start with, and I recommend updating and customizing to your preferences. So, at the very top, we're asking the AI to turn a meeting transcript into clean notes. The way that we want the notes structured in this case has three sections, but again, this section here is something that I recommend you change. So, you're going to change it based on the tone that you prefer, the structure you prefer, etc. And this likely may vary by meeting as well for you. So, in this meeting, we can say that we want three bullets summarizing what wa
